Configure automatic follow-up reminders, set global defaults, and override per request.

FileChute's automation system sends follow-up reminders to recipients who haven't completed their uploads. Set global defaults, then fine-tune per request when needed.

How reminders work

When a file request has a recipient email and reminders enabled, FileChute automatically sends follow-up emails on a schedule you define. Reminders stop once all checklist items are uploaded (or skipped) or the maximum count is reached.

  • Reminders only fire for requests with a recipient email address.
  • The first reminder is sent after the chosen frequency elapses from the request's creation (or last reminder).
  • Each reminder includes the request title, a link to the upload page, and a summary of outstanding items.

Setting global defaults

  1. Go to Settings > Automation.
  2. Toggle Enable auto-reminders by default on.
  3. Choose a Default reminder frequency — every 24, 48, or 72 hours.
  4. Set the Default max reminders (1–10). This caps how many follow-ups a single request will send.
  5. Click Save automation defaults.

These defaults apply to every new request you create going forward. Existing requests are not affected.

Per-request overrides

Every request can have its own reminder settings that override the global defaults:

  • When creating a request — expand the Advanced options section to toggle reminders, change frequency, or adjust the max count.
  • From Settings > Automation — the Open requests reminder overview table lets you review and adjust reminder behaviour for all active requests in one place.
  • From the request detail page — you can send a manual reminder at any time, independent of the auto-schedule.

Best practices

  • Start gentle — 48–72 hours and 3 reminders is a reasonable default for most accounting and legal workflows.
  • Tighten for deadlines — switch to 24-hour cadence and increase the cap when a due date is approaching.
  • Disable for sensitive requests — turn off reminders when you want full manual control over follow-ups.

Availability

Auto-reminders and the per-request override table are Pro plan features. Free-plan users can preview the controls but cannot save changes.
